Project Coordinator, Architectural / Mechanical

Class 1 Inc. – Cambridge, ON

Working under the supervision of the Director of Sales & Project management this entry level role coordinates, helps track and reports tasks supporting the on time and successful delivery of customer orders for medical gas systems, medical gas accessories and medical room accessories. This role is also a cross trained position for Class 1’s Service Coordinator to cover vacation time.

Responsibilities and Duties


Support secondary and mechanical sales

  • Assist customers with product inquiries
  • Enter customer orders in MRP and follow up with purchasing if needed
  • Coordinate customer deliveries
  • Work with engineering on any custom requirement
  • Create secondary Bill of Materials (BOMs), picture to store on server for future repeat orders
  • Update production notes

Project manage some aspects of in-house releases (including architectural systems) for system builds resulting from accepted tenders

  • Request shop drawings from engineering or architectural staff for customer approval
  • Follow up with customer for approval and release of job
  • Prepare customer/project file on server
  • Create build, project binder for production
  • Prepare shipping paperwork
  • Prepare order for invoicing
  • Update project reconciliation with actual project close cost
  • Coordinate with site delivery, deficiencies and tracking of delivery (with help of account manager)

Service Coordinator Back Up

  • Service call management and technician scheduling
  • Parts ordering

Qualifications and Skills

  • Post secondary education / 2 year technical or 4 year university degree preferred
  • Project management experience and /or purchasing experience
  • Ability to manage multiple projects simultaneously
  • Ability to troubleshoot issues with customers and service technicians
  • Knowledgeable with the OSHA and WSIB procedures an asset
  • A ‘customer first’ attitude
  • Excellent written and oral communication skills,
  • Strong interpersonal, communication (verbal and written) and customer service skills. Fluency in English required, French an asset
  • Computer Skills: MS Office (Outlook, Excel, Word), Knowledge of Business Vision is an asset
  • Strong organizational, time management and problem solving skills
  • Self motivated, process driven, and results orientated professional
